Description
The pre-project survey is a mandatory stage before the industrial implementation of the "AI Consultant" system. Based on the survey results, a technical specification, target architecture of the solution, and an accurate assessment of implementation costs are formed.
The survey is conducted by a team of analysts and engineers together with key specialists from the client side: system users (lawyers, HR, salespeople, analysts), IT service, and department heads.
Duration: from 2 to 4 weeks (depends on the scale of the enterprise, volume of documentation, and number of connected systems)
What is included
1. Audit of current business processes
- Study of the existing process for information search, consulting, and document handling
- Identification of decision-making points and areas of responsibility
- Analysis of the current workload on employees when answering typical questions
- Assessment of the volume and nomenclature of processed documents (contracts, instructions, directories, guidelines)
- Identification of bottlenecks and time losses (long searches, duplication of answers)
2. Work with key specialists
- Interviews with direct users of the product (lawyers, HR, salespeople, analysts)
- Interviews with IT specialists and system administrators (1C, CRM, document storage)
- Interviews with department heads
- Collection of requirements and expectations from the system (what questions should be asked, what documents to upload)
3. Data and systems analysis
- Definition of data and file formats (PDF, DOCX, XLSX, TXT, images, books)
- Inventory of used systems (1C: Document Management, corporate portals, file storages, CRM)
- Preliminary analysis of accounting and related systems
- Assessment of the quality and completeness of the knowledge base (relevance of instructions, availability of directories)
- Analysis of historical data on queries and responses
4. IT infrastructure analysis
- Assessment of server capacities for local system deployment
- Analysis of network infrastructure
- Assessment of readiness for integration with 1C: Document Management (when choosing the Professional version)
- Definition of hardware requirements
5. Formation of target architecture
- Designing the target interaction scheme of AI Consultant with existing systems (1C, portal, storages)
- Definition of the composition of modules and system configuration
- Recommendation on the choice of product version (Basic, Standard, Professional)
- Definition of implementation stages
6. Preparation and agreement of technical specifications
- Formation of functional requirements (what documents to upload, what parameters to configure)
- Description of system usage scenarios (consultation on contracts, searching for instructions, drafting letters)
- Definition of acceptance criteria (accuracy of responses, speed, completeness of document coverage)
- Agreement of technical specifications with the client
7. Assessment of implementation costs
- Formation of a detailed work plan for implementation
- Assessment of labor intensity and timelines for each stage (agent configuration, knowledge base upload, integration, training)
- Calculation of the final cost of industrial implementation
- Formation of a commercial proposal

As a result of the pre-project survey, the client receives:
